Christmas Eve is the single biggest night of the year for most churches — more first-time guests walk through the doors than on any other service. The churches that handle it well start planning their media early. Here's a practical guide.
Start with the service flow, not the media
Before picking any videos, write out the service order: pre-service, welcome, carols, message, candlelight, close. Every media piece should serve a specific moment in that flow — not be added because it looks cool.
The pre-service countdown
People arrive early on Christmas Eve, often 20–30 minutes before start. A festive countdown video does three jobs: it tells guests they're in the right place, builds anticipation, and gives your team a hard start time. Use a 5-minute countdown and loop holiday visuals before it.
A cinematic moment before the message
Christmas Eve sermons are short, and many listeners are guests who don't attend regularly. A 2–3 minute mini movie on hope, light, or the meaning of Christmas meets them where they are and hands the pastor a room that's already leaning in.
Plan for bilingual guests
Christmas brings extended family — and in many communities that means Spanish-speaking parents and grandparents. If your church serves a bilingual community, consider a Spanish mini movie at your Spanish-language or bilingual gathering.
A realistic timeline
- October: Lock the service theme and order. Choose your media pieces while selection is best.
- November: Download everything, load it into ProPresenter/EasyWorship, and test on the actual screens.
- Early December: Full run-through with the tech team. Check audio levels on every video.
- Christmas week: No new media. Only rehearse what's already tested.
Technical checklist
- All videos in the same resolution your projector runs (1080p is standard)
- Videos downloaded locally — never stream during a service
- Audio levels matched across all pieces (nothing worse than a blasting countdown)
- A backup copy of every file on a second machine or drive
The bottom line
Christmas Eve media isn't about spectacle — it's about helping a room full of once-a-year guests feel something true. Pick a few pieces that serve the story, test them early, and let them do their work.
